Manages the schedules of the executive leadership team by planning and coordinating meetings, teleconferences, and travel arrangementsConserves time for executives by handling phone calls, routing correspondence, drafting letters and documents, collecting and analyzing information, and creating professional presentationsHandle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages..)Correspondence (English, French) and preparation of misc. documents (reports)Conduct research and prepare presentations or reports as assignedConferences, road shows and events organizationMake travel arrangements for Executives and members of technical team and coordination with other offices' ExecutivesPrepare expense claims and provide assistance in bookkeepingMonitor office supplies and negotiate terms with suppliers to ensure the most cost-effective ordersAssist with monitoring of building contractors on maintenance and repairsMaintain electronic and paper records ensuring information is organized and easily accessibleSwitchboard assistance when required

5 years experience as Executive assistant

Perfectly bilingual in English and French

A minimum of five (5) years' experience with senior management and executive level support is requiredQuick professional with great time-management and multitasking abilities.Diligence and competence in the work, integrity and team spiritPerfectly bilingual, English and FrenchStrong familiarity with MS Office tools is essential and advanced skills in excelwell-structured and organisedExcellent communication skills
